Purpose: To define and describe the board's Internet privacy practices

Information Collected Via the Internet by Stafford County Public Schools

There is no legal requirement for a user to provide any information when using the World Wide Web. However, the division’s websites automatically collect the following information from and/or about users:

  • Technical information including the page or service requested, the type of web browser and computer operating system being used, the IP address of the computer, the date and time of access, the Internet address of any website from which the user linked.
  • Optional information that a user voluntarily and deliberately decides to send to the website which may include the user’s name, email address, and the content of an email when sent to a district’s website by the user. Failure to provide optional information may mean that the particular feature or service associated with that part of the web page will not be available to the user.

Division websites may contain links to other public or private entities' websites, whose privacy practices are beyond the division's control.

The division shall inform the public concerning the collection of the above information through a link to this policy on the home page of the division’s website.

User Information Review

Any individual wishing to learn the purpose for which information has been recorded or the particulars of its use and dissemination may contact the division. Any person wishing to correct, erase, or amend inaccurate, obsolete or irrelevant information may do so by procedures established by the superintendent/designee.

Under the Freedom of Information Act, any records may be subject to inspection by or disclosure to members of the public for any purpose.

Information Use and Retention

Technical information is logged in standard W3C format, including elements such as IP address, cookies, and user agent, is retained for one year.

Optional information is retained in accordance with the Records Retention Schedules promulgated by the Library of Virginia.

Information retained by the division’s websites shall be maintained in compliance with the Government Data Collection and Dissemination Practices Act.

Occasionally this information will be used to enable a security investigation and, in select cases, may be forwarded together with any other relevant information in the division’s possession to an appropriate law enforcement agency.

Accuracy and Currency

The superintendent/designee shall be responsible for administering the division websites to assure contents are current, correct, and consistent with the legal requirements for public web-based information systems within the Commonwealth of Virginia and the United States of America.

Webmaster Training

Annual training shall be provided to all Stafford County Public Schools’ webmasters to ensure that they are aware of and are complying with the provisions of this policy.
